EQUILIBRIUM is looking for an Operations, Marketing & Culture Coordinator to join our team in Vancouver.

EQUILIBRIUM is an award-winning mid-sized consulting Structural Engineering firm working on a diverse range of ambitious projects both locally and internationally. EQUILIBRIUM was founded in Vancouver in 1998 with a focus on progressive and innovative building projects, sustainability-oriented construction, and particularly projects utilizing timber construction.

Headquartered in Vancouver, BC, with offices in France and the USA, our team works with clients both locally and internationally, to engage community and push the boundaries of conscious and sustainable structural design.

WHAT WE’RE LOOKING FOR

We are looking for a highly organized, proactive, and detail-oriented Operations, Marketing & Culture Coordinator with 1 year minimum of office-based experience to join our team at our Vancouver office.

WHAT YOU’LL GET UP TO

– Work directly with the Operations Manager and Senior Management team.
– Assist with business development and marketing initiatives, including social media content, newsletters, website updates, award submissions, conference support, project sheets, staff resumes, and other marketing collateral.
– Support proposal coordination, including maintaining submission schedules, preparing checklists, tracking deadlines, formatting documents, and compiling supporting materials.
– Lead and coordinate company social events, celebrations, retreats, team-building activities, volunteer initiatives, and employee engagement programs.
– Help create a positive, inclusive, and engaging workplace culture across our Vancouver and Atlanta offices.
– Manage calendars, schedule meetings, prepare draft agendas, and coordinate follow-up on action items.
– Support onboarding and offboarding activities, maintain employee records, prepare employment documentation, and assist with HR administration.
– Organize travel arrangements, accommodations, registrations, and logistics for conferences, meetings, company events, and project-related travel.
– Create and maintain project information sheets, project experience databases, staff resumes, project photography libraries, and other business development resources.
– Maintain and improve internal filing systems, databases, templates, licensing records, and operational processes.
– Assist with invoicing, expense administration, vendor coordination, office administration, and general operational support.
– Take ownership of special projects and administrative initiatives as opportunities arise.
– Exact responsibilities will be dependent on experience level.

REQUIREMENTS

– Diploma or Bachelor’s Degree in Business Administration, Communications, Human Resources, Marketing, or a related field is preferred.
– Equivalent professional experience will also be considered.
– Located in Vancouver or willing to relocate.
– Valid work status in Canada.
– Minimum 1 year experience in an office environment.
– Interest in and a willingness to learn administrative, marketing, operations, office coordination, communications, event planning, and project coordination duties.
– Advanced proficiency with Microsoft 365, including Outlook, Teams, Word, Excel, PowerPoint, and SharePoint.
– Experience with Canva, Adobe InDesign, Adobe Creative Suite, or other graphic design software is considered an asset.
– Experience coordinating multiple projects and deadlines simultaneously.
– Experience within a consulting, engineering, architecture, construction, or professional services environment is considered an asset.
– Experience with proposal coordination, event planning, marketing coordination, recruitment support, social media management, or content creation is considered an asset.
